Terms and ordering

These terms cover how an order with Sew What Embroidery Designs works, from the first quote to the parcel arriving. They apply to every patch, keychain and decorated garment we make. Nothing here replaces the detail on the pricing page or the answers in the FAQ — this page is the short version of what each side agrees to.

Quotes and proofs

Send the artwork, the finished size, the quantity and the backing you want. We reply with a firm price and a free digital proof, usually the same working day. The quote holds for 30 days.

The proof shows size, thread colours, border and backing. Nothing is produced until you approve it in writing. Changes to the proof are free and there is no limit on how many rounds you ask for. Once you approve a proof, that proof is what we make.

Artwork you supply

Vector files work best, but a clear JPG or PNG is usually enough — we redraw and digitize as part of the price. Digitizing is never billed separately.

By sending artwork you confirm you own it or have permission to have it reproduced. We do not produce trademarked logos, unit insignia or licensed characters for anyone who cannot show the right to use them. If a claim is made against artwork you supplied, it stays your responsibility.

Production starts when the deposit clears and the proof is approved, whichever is later. Prices are per the published price grid unless your quote says otherwise.

Production time is counted from proof approval, not from the day you first write to us. Shipping time sits on top of production time and depends on the destination. We give you the tracking number the day the parcel leaves.

Customs duties and import taxes are set by your own country and are not included in the price. They are the buyer’s responsibility.

If something is wrong

If what arrives does not match the proof you approved, we remake it at our cost. Tell us within 14 days of delivery and send photographs of the problem. We cover the remake and the return shipping on our own errors.

Because every item is made to your artwork and your specification, approved custom work is not refundable and cannot be returned for a change of mind. That is why the proof exists — check it carefully before you approve it.

Two things sit outside a remake claim. Thread colours are matched as closely as thread allows, so a small shift against a printed Pantone chip is normal rather than a fault. And fine detail has physical limits by construction — woven holds roughly 2 mm type where embroidery needs about 5 mm — which is called out on the proof before you approve it.

Cancelling an order

You can cancel free of charge at any point before you approve the proof. After approval, production is usually already booked, so the deposit covers the work committed and is not returnable. If you need to change quantity or size after approval, ask — we will do what we can before the run starts.

Your files and reorders

We keep your digitized file so a reorder runs at the same setup and comes out identical. The file is yours — ask and we will send it to you. We do not sell or reuse your artwork for anyone else.
